Agent Duties

Listing appointment
1) At Listing appointment get listing agreement and property disclosure signed
and advise seller to order Homeowners Association / condo documents.
Agent should remind seller to do so because the buyer has 3 days to review
and can pull out of the deal for any reason and get his EMD back during
those 3 days. So, both agents work fast to get done. After 3 days that
contingency is gone.
2) Submit listing documents to National Realty case processing sheet.
3) After contract ratification, email the HOA documents to buyer agent.
4) HOA may require Buyer to do some repairs. Follow up with buyer’s agent.
5) Submit National Realty case processing sheet.
6) Add listing to the MLS
7) Order signpost for the front yard
8) Put out your directionals.
9) Make brochure for buyers to pick up in the house.
After ratification:
1) Listing agent to change status in MLS.
2) Contact settlement company for a date and time for settlement.
3) Submit ratified contracts and copy of EMD to seller, buyer’s agent, lender
and settlement company.
4) Confirm with buyer’s agent the EMD has been deposited into escrow.
5) Agents to follow up on buyer’s loan approval.
6) Settlement company will email agent a questionnaire (Qualia) to give
details of the contract.
7) Seller notifies utility companies the date of settlement and wish to transfer
service over to new buyer who will be calling them. Do NOT disconnect,
just transfer. (If disconnected buyer would have to pay a reconnect fee)
8) Provide data to buyer’s agent to have them register in their name. Give

9) Home must be empty settlement day & in broom swept condition.
10) Provide keys for doors, mailbox, and garage door opener
11) Sellers and Buyers should bring a valid driver’s license or ID.
12) Agents should go to settlement to show care and ask for referrals.
13) A gift is in order: maybe a bottle of wine with your business card.
14) Agents should ask for referrals.
A few days before Settlement:
1) A few days before settlement agents will receive the closing documents to
review for accuracy. Sales Price, concessions, admin fee, address of the
property, correct commission calculation etc.
2) Lender will tell buyer how much to bring in cashier’s check payable to
Settlement company name. Never trust an email or phone call telling your
client where to wire money. Lots of scammers know your transaction and
sound legit. Call the settlement company when in doubt.
3) Bring extra blank check just in case. .
4) Get lockbox off the door unless leaving on for buyers walk through.
5) House must be empty, and broom swept a few days before settlement. If
doing a walk through, the buyer and buyer’s agent go alone and use the
lockbox to get in. A walk through is to make sure nothing has changed, it’s
not a home inspection.
6) Remove your presentation materials from inside the house.
7) Pick up your sign directionals from street corners.
8) Get your name plate off the signpost.
9) Order signpost removal by company.
After Settlement:
1) In MLS, change status to closed.
2) Update case processing sheet.
3) Send cards or gifts to your past clients.
4) Call your client after settlement to see how things are going.
5) Keep in touch with your clients for life. You will be surprised how they will
recommend or be back to you. (but if you drop communication, they won’t
send you
